Customer Service Policy
The Students' Association is committed to good process and quality
If you are unhappy with any decision made by any staff member, or by the Director of
Arscott House you may seek to have them review their decision. You should receive a
response within seven days of putting in a request for a review of a decision, together with a
statement of reasons for making the decision.
Office Hours
The Students' Association Office is located on the Concourse, in Building One at the University of Canberra. Our Office Hours are from 9am to 5pm Monday through Friday (except Public Holidays). If you have any questions or concerns about anything to do with Arscott House you should feel free to contact us.
Online Transactions
Applications and other transactions made within the Arscott House Portal are protected with SSL 128 bit encryption. If you would prefer to not give your details online, you can call our office on (02) 6201-2000 and payment can be be taken over the phone.
All transactions made using the online portal will be made in Australian Dollars (AUD)
Privacy Policy
Your right to privacy is very important to us. The Students' Association is committed to protecting and maintaining the privacy, accuracy, and security of your personal information
How we collect your information:
We will only collect information that relates to our business relationship with you.
The information we collect might include personal information that could be used to identify you include contact and next of kin details, bank account and credit card information, and information about your attendance at university, your residence at Arscott House, and use of our services if you accept a place which is offered to you.
How we use your information
We will limit the use of your personal information to:
- Conducting our business of providing accommodation and associated services to you, and performing our internal administration and operations.
- Maintaining records for the proper administration of Arscott House on behalf of the University of Canberra
- Advising you of matters wich are relevant to your application, and residency at Arscott House
- Maintaining our relationship with you as a resident
- Complying with legislative and regulatory requirements and otherwise fulfilling our legal obligations
- We may use your information to offer you services or products that we believe may meet your needs or otherwise be of interest to you. If you would prefer not to recieve this information you can notify us at any time by emailing arscott@theucsa.org.au
Who will use your information
We will not share your personal information with any company or person other than:
- The University of Canberra
- any company or organisation that is a related body corporate of the University of Canberra Students' Association Inc, or the University of Canberra.
- Your university or college
- emplotyees, agents, contactors, lenders, external advisors (such as lawyers, auditors, accountants, market research or promotional agencies) of the University of Canberra Students' Association Inc or the University of Canberra.
- Regulatory bodies, government agencies, law enforcement bodies, tribunals and courts as required by law
- We bind our associated companies, employees, agents, contractors and external advisers and other organisations with which we deal to the same standard of confidentiality as the University of Canberra Students' Association Inc itself promises in this policy, so that they cannot provide this information to anyone else. We enforce this requirement through contractual agreements
Sensitive Information
We only collect sensitive information about you with your consent. We will only use sensitive information which you choose to provide to us relating to your:
- racial or ethnic origin, religious beliefs or affiliations and your dietary requirements in line with our philosophy of providing safe, secure and inclusive residence for the purpose of allocating accommodation at Arscott House and maintaining our relationship with you,
- health, if you are involved in a medical emergency.
Your information is secure:
- Your information may be stored in hardcopy or electronically in our systems.
- We maintain physical security over our paper and electronic data storage and premises and computer and network security which meets current industry standards to ensure that your personal information is kept secure and confidential.
- We will not retain any of your information for any longer than it is required by us for the purpose detailed in this policy,.
- With your help we will keep your personal information accurate, complete and up to date.
You can access your information:
- You can access the personal information we hold about you and request corrections or updates except as otherwise provided in this policy.
- This right is subject to some exceptions, for example, you may not obtain access to information relating to existing or anticipated legal proceedings or which might threaten the privacy of others.
- We will promptly respond to any request for correction or updating of your personal information
- In most cases your information is avaliable for review within the Arscott House Resident Portal.

Refund Policy
The Arscott House Residential Agreement provides the basis for our refund policy.
Deposits
Deposits are refundable at the end of a residents period of residency so long as their room is in good order and there are no outstanding charges against their account. Where there are outstanding charges, they will be deducted from the deposit prior to a refund being made.
Refunds of deposits will be made within 28 days of your notice of vacation of a room.
Deposits paid prior to occupancy to secure a room will be refundable if a Resident does not move in, however a charge of two weeks residential fee will be applied where you accept a place and subsequently determine not to move in.
Residential Fees
Residential Fees will only be refunded where there are exenuating circumstances, and will be done so at the discretion of the Director of Arscott House.
Other Charges
Payments made onto an account using the portal for extra services (eg. Telephone) that are unused at the end of the residency period will be refunded together with the deposit.
